About the Department:

The Mason Card Office (MCO) provides the university community with state approved identification credentials, provides oversight/manages meal plan programs, voluntary debit programs, and the subsidiary programs and services. The department audits meal plans and debit programs to maintain highest level of data integrity. The MCO also provides customer service and marketing programs to enroll customers in appropriate plans and programs and Interacts with other campus departments to provide alternative methods to provide service in a cashless environment. The MCO also collaborates with third-party and independent food service providers. The MCO manage issuance of university IDs, provides high quality customer service, and secures processes and inventories.

About the Position:

The Assistant Director, Mason Card Office (MCO) is responsible for Mason Money transactions such as deposits, charges, and refunds. This position works with departments across campus to configure cards, monitors usage, and monitors submittals of payment. This position is key to communicating with the campus what services are available, and for supporting the development of the policy and procedure to provide services within the campus directives. The Assistant Director, MCO supports the training of student staff to interact with the campus community and provides protection of data information. This position supports the development of the departmental budget and assists in the oversight of the expenditure of funds and helps with the development of long-term goals and strategies.

Responsibilities:

  • Responsible for Mason Money transactions such as depositing, charging, and refunds;
  • Works with departments across campus to configure cards, monitor usage, and document and submit AP for payment;
  • Responsible for refunding credit/debit for students leaving Mason and researches and corrects charges when needed;
  • Responsible for managing off-campus merchants, including making initial contact, obtaining signed agreement, and obtaining G numbers;
  • Provides insight into vendor relationships to the Director and reports any problems and issues proactively;
  • Joined responsibility with other members of the team on meal planning. Duties involve:
    • Creating reporting and billing files at the beginning of the semesters, as well as setting up meal plans at the beginning of the semester;
    • Ongoing maintenance of meal planning includes daily/monthly reconciliation reports; and
    • Further duties include meal plan analysis on vendor payments against MP Billing, and reimbursing vendors on a weekly or monthly basis.
  • Responsible for providing leadership and support on office operations as needed, such as providing customer service to students and constituents, using emails, phones, face-to-face communications;
  • Supports the training, hiring, access, and schedule of student hires;
  • Provides assistant to the Director and supports internal meetings; and
  • Other related duties as assigned.

Required Qualifications:

  • Associate's degree in Accounting, Business Administration, Computer Science, Public Administration or related field, or equivalent combination of education and related experience;
  • Knowledge of administrative and office procedures and systems such as word processing, managing files and records;
  • Knowledge of principles and processes for providing customer and personal services, including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction;
  • Basic understanding of accounting principles; and
  • Excellent written and verbal communication skills.

Preferred Qualifications:

  • Bachelor's degree in Accounting, Business Administration, Computer Science, Public Administration or related field, or equivalent combination of education and related experience;
  • Previous professional experience (typically three or more years) in the management and supervision of employees;
  • Higher Education experience in a Campus Card System or a Corporate Card Services program;
  • Knowledge of Higher Education, knowledge of working in a Campus Card System or a Corporate Card Services program; and
  • Knowledge of Atrium.
