The Purchasing Assistant is responsible for administrative tasks regarding procurement and purchasing activities for commercial engine power products and services including, but not limited to preparing purchase orders, expediting delivery of goods, forecasting, planning & development of vendors, ensuring cost control measures, and securing/analyzing quotations according to competitive market prices. In addition, this position develops, maintains, and interacts with a variety of teams such as engineering & Sales. Essential Functions:
  • Models, promotes, reinforces, and rewards the consistent use of HOLT's Values Based Leadership (VBL) tools, models, and processes to ensure alignment with our Vision, Values, and Mission.
  • Supports the project management, sales & sales admin teams with administrative tasks projects.
  • Provides support to project management team placing purchase orders with different vendors.
  • Monitoring suppliers on due dates, monthly deliveries, potential delays and communication among PSD teams.
  • Collaboration with project management, sales & sales teams on relationships with vendors.
  • Collaboration with sales admin team & AP team on invoicing issues form suppliers.
  • Provides complete and accurate status reports upon request regarding vendors.
  • Contributes to Sales, Sales Admin & Engineering team providing forecasting & planning regarding vendors.
  • Performs other duties as assigned.
Knowledge, Skills, and Abilities:
  • Strong knowledge of Microsoft Office products (Excel, Word, PowerPoint, Outlook, etc.), primarily Excel.
  • Excellent interpersonal skills to establish working relationships with multiple departments and various levels of the organization.
  • Self-starter and the ability to work independently.
  • Excellent verbal, written, and communication skills.
  • Excellent interpersonal and customer service skills.
Education and Experience:
  • High school diploma or equivalent required.
  • Two or more years of purchasing, vendor relationships data entry experience preferred.
Supervisory Responsibilities:
  • None
Travel:
  • Up to 5%
  • 1-2 times per year
Physical Requirements:
  • This position involves extended periods in a stationary position; additionally, occasional movement inside the office to access office machinery, file cabinets.
  • This role frequently communicates with others, must be able to exchange accurate information in these situations.
  • Visual acuity, speech, and hearing; hand and eye coordination, and manual dexterity necessary to operate a computer, keyboard, and basic office equipment.
  • Occasionally moves materials or equipment weighing up to 30 pounds.
Work Environment:
  • This job is generally performed in a professional office; in environmentally controlled conditions, operating computer, manual dexterity, talking, hearing, and repetitive motion.
  • Frequently works at fast pace with various interruptions occur, need to be able to keep details clean and stay on task.
